JOB DESCRIPTION

The Box Office Manager reports directly to the Director of Marketing and Communications with dotted line reporting to the Artistic Director and Executive Director. 

The primary role of the Box Office Manager is to generate earned income through ticket sales and subscriptions. This role serves as both the key purchase contact for Quintessence Theatre and a representative of the organization to patrons and staff. They are required to represent Quintessence with professionalism and exhibit an ability to provide exemplary patron service. The Box Office Manager is a team leader and problem solver and serves as a critical feedback link between patrons and staff.    
 

Tasks and Responsibilities

Be highly proficient in all ticketing operations of the software Patron Manager (Salesforce), self-train or seek coaching, advise leadership on best practices and new advancements, build events and instances, build each theatre season and build subscription packages. Build classes and camps. Advise on best practices on the development and education aspects of PatronManager;  

Open and close the Box Office according to stated hours. Serve as the on-site Box Office Manager, greeting walk-in patrons, answering phones and selling tickets; 

Make and meet weekly outbound call goals for subscribers, lapsed subscribers and potential groups to qualify leads and close ticket sales. Manage an outbound call tracker; 

Create and generate ticketing sales reports, AEA reports, weekly sales tracking, post on an agreed upon schedule, add financial data to QuickBooks, generate door reports, generate tracking codes and promo codes, and be responsible for other sales support and reporting as needed;  

Be responsible for all community calendar postings and Facebook event posts that will appear no later than 4 weeks (or as allowed) prior to each event, e.g. Patch, free community calendars, etc. 

Interview, hire, train and supervise part-time Box Office Associates. Recruit, train and manage additional volunteer corps for distribution and other tasks;  

Be responsible for programs being printed;  

Be responsible for the overall appearance of the Box Office Lobby and Middle Lobby. Order posters for walls and sidewalk sign, report any cleaning or facility fixes that are needed, oversee the general operations of concessions and help coordinate the ordering;      

Manage all community events in coordination with Office Assistant. Schedule the event, be the main point-of-contact, manage the collection of materials, arrange for the tent and/or tables, schedule volunteers or staff. Manage the event calendar and create a post-event report. Attend the event as needed;   

Work with the Executive Director on executing proper cash handling and cash control procedures. Manage the Square POS system;  

Work with leadership to recommend appropriate demand-based pricing adjustments resulting from sales analysis. Manage all third party sales outlets;  

Serve as backup staffer in the event of illness or inability to appear for House Manager, or Front-of-House staff.


Other tasks as appropriate and needed. 

 

Patron Manager experience mandatory. 

Salary $40,000 - $42,000 based on experience; health insurance and benefits package available.
